- Coordinate and facilitate project governance (weekly/fortnightly status, steering/gateway readiness where applicable), including agendas, packs, minutes and follow-up.
- Drive the project reporting cadence: collect updates, challenge gaps/inconsistencies, prepare status reports/dashboards, and communicate key changes to stakeholders.
- Support scope, change and baseline management by logging change requests, tracking impacts (schedule/cost/risk) and coordinating approvals with the Project Lead/Manager.
- Coordinate cross-functional delivery activities (workshops, design reviews, testing/validation readiness, release/launch readiness) and track completion of agreed outputs.
- Support basic project financial administration (e.g., purchase requests/orders, invoice tracking, simple budget/spend trackers) in line with finance policy and project needs.
- Coordinate external parties as required (suppliers, contractors, labs/test houses) for meetings, deliverables and timelines, escalating constraints early.
- Maintain project documentation and document control (templates, stage-gate/gateway packs, decisions and approvals) and drive continuous improvement of ways of working.
- Identify risks, delays and resource constraints early; propose options and escalate with clear recommendations to the Project Lead/Manager.
- Experience in project coordination/project controls (typically 3–5+ years), ideally within product development, engineering or manufacturing environments.
- Working knowledge of project delivery frameworks and governance (e.g., stage-gate/gateway, waterfall and/or agile) including maintaining project artefacts and reporting cadence.
- Demonstrated capability in schedule and milestone management, dependency tracking, and maintaining RAID, decision and action registers.
- Strong facilitation and stakeholder management skills (workshops, design reviews, governance meetings), including professional minute taking and action follow-up.
- Proficient in Microsoft Office / Microsoft 365, including advanced Excel skills and strong working knowledge of Microsoft Teams and Microsoft Project for maintaining schedules and tracking progress.
- Experience supporting basic project financial administration (purchase orders/requests, invoice tracking, simple budget/spend tracking) (desirable).
- Strong written and verbal communication skills with the confidence to challenge for clarity and escalate issues with options.
- Qualification in business, project management or a related field (desirable).
